Meetings

As openSUSE is a worldwide community program we need to use a medium that is worldwide accessable. So meetings will take place in the official IRC channel. Every meeting should have a couple of things set up:

  • Agenda
  • Q/A section
  • Transcript
  • Announcement

Agenda

The agenda holds the topics that will be discussed in the meeting.

  • The agenda should be a wiki page editable for everyone.
  • The agenda should be finalized at least 2 days before the meeting takes place.
  • During the meeting you should stick to topics from the agenda.

Q&A section

The Q&A section is there so people who can't participate in the meeting can ask questions and make comments about topics from the agenda.

Transcript

For post meeting discussions, people that couldn't attend etc. there should be a transcript. Just log with your IRC client and put the content of the logfile to a page in the wiki. Make sure to add linebreaks in very long lines.

Announcement

Once you have all this you can schedule your meeting. Please announce it to the mailinglist opensuse-announce. Please do this at least 5 days before the meeting takes place!

IRC Technicalities

Join #opensuse on the Freenode network. During the time of the meeting the channel should have the following mods set:

  • +m - Moderated - People who don't have voices (+v) can't send messages to the channel
  • +n - No external messages - With this mode, no one can send messages to the channel without even being joined.
  • +z - relaxed moderation - When +z is set each message that would be blocked by +m is sent to all the users who are currently operator

You need at least one moderator (channel operator) present during the meeting who can give out voice (+v) to users that want to participate.

IRC Workflow

1. One day before put the meeting date/link into the topic of #openSUSE

2. On the day of the meeting keep announcing the meeting to the channel

3. When the meeting starts set the modes described above

4. Adjust the topic to tell people that a meeting takes place. Suggestion:

 Welcome to the <Meeting Name> - Agenda on http://en.opensuse.org/Meetings/Current

5. Make an introduction explaining this meeting. Suggestion:

 Welcome to the <Meeting Name> 
 The purpose of this meeting is <Meeting purpose>
 Some technicalities:
 This channel is moderated during the time of the meeting.
 But it has relaxed moderation set so the operators (but nobody else) can see what you're writing.
 So if you have a question or remark just write it. The moderator will give you a voice and you can
 repeat your question for everyone.
